Archiving Applications vs. Moving to Trash
The key difference between the two options is mainly for organizational purposes. In most cases, Archived Applications refer to applications that have gone through the most if not all of the application process in a previous year or cycle. They allow you to organize that those applications were real applications that passed through your process. Trashed Applications, however, are typically applications that are incomplete, or were used for testing.
Applications are most commonly moved to trash when:
- The application was created in error
- To separate test applications from your live data
- The applicant did not complete the application after it was created
How to Move Applications to Trash
Moving an application to trash will store unnecessary applications within a trashed folder helping you to separate test applications and applications made in error from your active applications.
To trash an application from Manage Applications:
- Go to Manage Applications
- Select applications to move to trash
- Select More
- Select Move to Trash
NOTE: If an application is moved to trash in error the action can be reverted. See Restoring Trashed Applications below for steps to recover these applications.
Viewing Trashed Applications
Aggregate and filter through all archived or trashed applications to find information or restore applications to an active status.
To view all trashed applications:
- Go to Manage Applications
- Update the filter drop-down menu to Trashed applications.
- To see material within the trashed application, select the application title to enter the administrator application view.
Restoring Trashed Applications
If an application is moved to the trash in error, the application can be reactivated ultimately reverting the error.
To restore a trashed application:
- Go to Manage Applications
- Access your trashed applications from the status filter drop-down menu.
- Select applications that need their status reverted
- Select More
- Select Restore
How to Permanently Delete Applications
Applications can only be permanently deleted from a site if they are first marked as trash. For this reason, the action of permanently deleting an application can only be carried out from the trashed applications page within Manage Applications.
To permanently delete an application:
- Go to Manage Applications
- Access your trashed applications from the status filter drop-down menu.
- Select the applications that need to be permanently deleted.
- Select More
- Select Delete Permanently
- You will be provided with the warning "Are you sure you want to permanently delete the selected applications?"
- Click YES to confirm your deletion
WARNING! This action cannot be reverted. Permanently deleting an application will remove it indefinitely from your site and you will no longer be able to retrieve the application.
How Does Changing Live Data Affect Trashed Applications?
Changes to your workflow may affect archived and trashed applications. For example, if you delete a question from a form, the answers to that question will be deleted from all applications using that form. This would include all active and inactive applications (archived, trashed, and withdrawn). Additionally, when a task is deleted from your workflow, the information captured by that task will also be deleted from any archived or trashed applications.
