Discovery Process
Step 1: Discovery Call(s)
What to expect:
- An outline of the implementation process
- Confirm workflow details, scope of the project, and timelines
Step 2: Discovery Call Follow-Up
What to expect:
- Finalized Scope of Work statement for your approval, including timelines
- Copy of the implementation process outline
- Calendar invite for our next call
Step 3: Finalized Document Gathering
What to expect:
- We will request that finalized items are sent for the site implementation
Example items:
- Eligibility form + rules to determine eligibility
- Application forms
- Task names (ex. “Upload Your CV”)
- Automated email text
- Review forms (scoring and questions)
- Post-Acceptance forms (ex. Mid Year Report)
Example Discovery Call Questions
Pre-Application
- Are there any eligibility requirements before creating an application? Or can the applicant create applications to any available process?
- Can the applicant create multiple applications?
Application Stage(s)
- Who are your applicants? (i.e. the name of the group)
- What tasks does the applicant need to complete before submitting?
- (i.e) Application Form, Upload CV, Get a Recommendation
- What format would you like applicants to upload their documents in?
- (i.e.) PDF only, Microsoft Word, jpeg and png
- Do the submissions need to be sub-categorized in any way?
- (i.e.) Categorize applications by their home province
- What automations need to occur in this stage?
- (i.e.) Automatically move the application into the review stage
- (i.e.) Email the applicant thanking them for their application
Review Stage(s)
- Who are your reviewers? (i.e. the name of the group)
- How the submission assigns to the reviewers?
- (i.e.) All submissions are assigned to the entire group or are they matched up based on some criteria?
- What task does the reviewer need to complete on the submission? (i.e. scoring form)
- What criteria either accepts or declines the applicants?
Post-Acceptance Stage(s)
- Do we need to send an email to notify the applicant that there is additional action required?
- What tasks does the applicant need to complete in post-acceptance?
- (i.e.) Mid Year Report, Upload Receipts
- What automations need to occur in this stage?
- (i.e.) Automatically move the application into the completed application stage
- (i.e.) Email the applicant thanking them for their reports
